How many wireless microphones does your event actually need?

The mic-count math for panels, town halls, and galas — plus why the answer is almost never 'one per person on the agenda.'

Ask a planner how many wireless microphones their event needs and the usual method is a headcount: four panelists, one moderator, two award presenters, seven mics. It feels rigorous. It’s also how events end up paying for channels they never use while still coming up one mic short at the moment it matters. Mic count isn’t a headcount problem; it’s a simultaneity problem. So this guide is organized as the questions planners actually ask us, answered in order.

”What’s the number that actually matters?”

Not “how many people will speak today?” but “what is the largest number of people who need to be live at the same instant, and what happens in the thirty seconds between segments?” Walk your agenda segment by segment and write down, for each one, how many open microphones the segment needs at its peak. A typical corporate program looks like this:

  • Welcome: one person at a podium. One mic.
  • Panel: four panelists plus a moderator. Five mics, all live at once.
  • Audience Q&A: the panel stays live, plus one or two mics in the room. Seven.
  • Awards: a presenter and a winner side by side. Two.
  • Closing: one.

The peak is seven, and it happens during Q&A, not during the panel. That’s your baseline, and it’s a different number than “count of humans on the agenda,” which for this program might be fifteen or twenty. People can share. Microphones get handed off, re-clipped, and swapped at walls between segments. What can’t be shared is a channel that two people need simultaneously.

Then add the margin that separates a smooth show from a scramble: one spare handheld on a stand, tested and live-able, for every four or five active channels. Not in a case: on a stand at front of house or side stage. When a lav battery dies mid-sentence or a presenter walks up with a laptop and an unannounced co-presenter, the spare is the difference between a two-second fix and a room full of people watching someone jog to a rack.

”Lav, handheld, or headset?”

The count and the type get decided together, because they fail differently.

Handhelds are the most reliable option in the set. The capsule sits close to the mouth, off-axis noise stays low, and, critically, an untrained speaker cannot really wear one wrong. They’re right for Q&A, award handoffs, toasts, and any moment where the mic changes hands. Their weakness is that they occupy a hand, which rules them out for anyone using both hands: demo presenters, sign-language moments, plaque-and-handshake photos.

Lavaliers free the hands and disappear on camera, which is why executives ask for them. But a lav is the most failure-prone mic on the truck: it sits far from the mouth, picks up clothing noise, and its level changes every time the wearer turns their head. A lav on a linen blazer over a silk blouse is a rustle generator. If your event is being recorded or streamed, this matters double: the room’s PA can paper over a marginal lav; the recording can’t.

Headsets solve the lav’s distance problem by putting the capsule near the mouth and keeping it there no matter where the head turns. They’re the right call for keynote speakers who move, anyone presenting for more than twenty minutes, and fitness-style or demo-heavy formats. The cost is visibility and fit time: a headset needs a proper fitting, not a thirty-second clip-on.

A useful default: handhelds for anything that changes hands, headsets for anyone who talks long and moves, lavs only where camera aesthetics demand them and the wardrobe cooperates.

”Can’t we just add a few extra?”

Not casually, and here’s why. Every wireless microphone is a small radio transmitter, and radios interfere with each other. Each channel needs its own clean frequency, coordinated against every other transmitter in the building, including the ones that aren’t yours. Hotel ballrooms are crowded RF environments: the house’s own wireless, the band in the next ballroom, wireless intercoms, and hundreds of phones. Past a handful of channels, frequencies stop being a thing you pick and start being a thing you calculate, and the calculation gets harder with each addition.

This is why “throw four more mics on it” the morning of the show is not a trivial request, and why a provider who says yes instantly without mentioning coordination should worry you slightly. It’s also why channel counts on a quote aren’t padded arbitrarily: coordinating twelve channels is meaningfully more work than coordinating six, in gear and in labor. When you cut your peak simultaneous count from twelve to eight by re-sequencing two segments, you’re cutting real cost, not just line items. (More on reading those line items in our AV quote guide.)

”So what does my format actually need?”

Board meeting or small town hall (up to ~75 people): two handhelds and two lavs covers nearly every version of this: a speaker, an introducer, and Q&A that passes a handheld. Peak simultaneity rarely exceeds three.

Panel programs: one mic per seated panelist plus the moderator, as lavs or handhelds depending on the table setup, plus two handhelds for audience questions. A five-person panel with Q&A lands at seven or eight channels.

Award galas: fewer than people expect. A podium mic, two handhelds for presenter pairs, and a spare gets most galas through fifty award moments; winners speak one or two at a time. The count goes up only when speeches overlap with live auction or band moments.

Conferences with breakouts: count each room separately, then remember the rooms are in the same building. The RF coordination has to cover all of them at once even though no single room uses many channels, and this is the case where the coordination work most exceeds what the per-room counts suggest. For hybrid versions of any of these, the remote feed adds requirements the room count doesn’t capture: audio first, always.

”What should I ask my AV provider?”

  • “What’s our peak simultaneous mic count, and which segment drives it?” If they can’t answer from your agenda, they haven’t read it.
  • “How many spares are live on stands, and where?”
  • “Who is doing RF coordination, and have you asked the venue what else is transmitting that day?”
  • “Who mics the presenters, and when do they get sound-checked?” Every wireless channel on the quote should come with a human who checks it on a real voice before doors. A mic that was tested at the shop but never on the person wearing it is a mic that hasn’t been tested.

The pattern in all four questions: the hardware costs less than the planning around it. Simultaneity, spares, spectrum, and a sound check that actually happens are what you’re paying a provider to get right.
